How PipelineOn fits
PipelineOn’s HubSpot connection matches eligible identified visitors with existing CRM records and applies your customer-classification rules. Available HubSpot activity can join the recorded website history, helping your team understand the relationship before following up.
Connect HubSpot and define your customer rules
Authorize the connection
Open HubSpot integration settings in PipelineOn, sign in to the correct HubSpot account, and approve the requested access.
Choose contact fields or deal stages
Set the rules that distinguish current customers, past customers, and other contacts in your business. Review the labels before enabling follow-up.
Choose your sync and outreach settings
Contact creation, visit updates, and customer outreach serve different purposes. Configure each to match how your team handles new leads and existing relationships.
Review website activity alongside the CRM journey
Journey tracking is included by default with new HubSpot connections. Available forms, calls, emails, deals, and other supported activity can help explain what happened before and after a matched website visit. Coverage depends on approved access and the records stored in HubSpot.
Use that context to recognize an old estimate, understand a previous conversation, or send a customer’s question to the right owner. A sold deal, completed work, and received payment remain separate events.
What if you already use HubSpot website tracking?
HubSpot’s tracking can attach page views to a known contact once the browser is associated with that contact, such as through a form submission or tracked marketing-email click. An imported CRM contact alone does not establish that association.
PipelineOn adds eligible visitor identification and matches to CRM records, including household context. Use the two sources with their match information intact; neither guarantees that every visitor will be identified.
Choose the follow-up that fits the relationship
Keep current customers with the team handling their account. Review past customers for reactivation. For other contacts, check the original inquiry and deal before deciding whether an estimate or booking conversation is still open.
A household match may point to a different member of the same household. Review ambiguous results before making changes or starting outreach.
Common questions
Do I need to paste a HubSpot API key?
The connection flow uses HubSpot authorization. An account administrator or a user with the required app-installation and record permissions should connect the account.
Will every HubSpot record have a complete journey?
No. Journey coverage depends on granted permissions, available record types, the data stored in HubSpot, and the visitor match. Missing activity is not proof that an interaction did not happen.
Can I keep current customers out of new-lead outreach?
Yes. Configure current-customer classification and the separate customer outreach controls. Review those settings alongside the contact-creation and update settings.
